Insurance, Regional Center, and Payment Options

Therapy Clubhouse works with families through several access pathways, including Tri-Counties Regional Center and available private payment options. Many families come to us through Early Start or Early Intervention referrals, while others reach out directly because they have concerns about speech, language, sensory processing, fine motor skills, school readiness, or daily routines. We help families understand the next step based on their child’s needs and the type of service being requested. Payment and authorization questions can feel confusing, especially when parents are already trying to support a child who needs therapy. Therapy Clubhouse keeps this part of the process as clear as possible. Our team can help you understand whether your child’s services may be connected to a Regional Center authorization, what information may be needed to get started, and what options may be available if your family is seeking care outside of Regional Center services.

Will insurance cover my child’s therapy?

It can, through our partner, Village, and there are two other ways to pay that do not use insurance. You may be able to use your insurance through Village, a pediatric provider network that holds the insurance contracts and handles benefits and billing while your child is seen by our therapists. Eligible young children often receive speech and occupational therapy at no cost to the family through Tri-Counties Regional Center’s Early Start program. Families outside Early Start typically use private pay, and we provide a superbill so you can request out-of-network reimbursement from your insurance. We’ll help you figure out which path fits your child before you commit to anything.

Insurance through Village

Therapy Clubhouse is not credentialed with insurance companies directly yet. We are working toward our own credentialing, and until that is finished, Village is how insurance works with us. Village is a pediatric provider network that holds the insurance contracts, verifies your benefits and handles the billing, while your child is seen by Therapy Clubhouse clinicians, the same people and the same care.

Through Village, we can currently work with PPO plans from Blue Shield of California, UnitedHealthcare, Anthem Blue Cross Blue Shield, Cigna Healthcare and Aetna, and with TRICARE. Insurance networks change, and two families with the same insurer can have very different plans, so Village confirms your specific plan, your benefits and your location before anything begins.

Tri-Counties Regional Center (TCRC): often at no cost

Therapy Clubhouse is a contracted provider with Tri-Counties Regional Center for Early Start and Early Intervention services. For children who qualify, Regional Center authorizes speech and occupational therapy at no out-of-pocket cost to the family. If you already have a Regional Center referral or authorization, we can begin the process right away. If you’re not sure whether your child qualifies, we can point you in the right direction during a free consultation.

Early Start is California’s early intervention program for children from birth to 36 months. Once a referral reaches the Regional Center, federal rules require the evaluation and the first IFSP meeting to be completed within 45 days, unless your family is unavailable or there are exceptional circumstances. Regional Center authorization is not insurance. Authorized sessions are covered at 100 percent, with no copay and no deductible.

Private pay and out-of-network reimbursement

For families paying privately, we keep pricing and scheduling straightforward, and we’re happy to provide a superbill, an itemized receipt you can submit to your insurance company for possible out-of-network reimbursement. Some PPO plans with out-of-network benefits pay back part of the cost this way; your plan can tell you. We recommend calling the number on your insurance card and asking about your out-of-network benefits for pediatric speech-language pathology and occupational therapy.

A superbill is not a bill from us; it is a receipt for sessions you have already paid for. Out-of-network reimbursement is money your PPO plan sends back to you, not to us. Your out-of-network deductible is usually separate from your in-network one, so ask about both when you call.

Insurance & payment FAQs

Do you take insurance directly?
Not yet, and we would rather be straight with you about it. Therapy Clubhouse is working toward our own credentialing with insurers. Until that is finished, Village is how insurance works with us: Village holds the contracts with the plans, verifies your benefits and handles the billing, and your child is seen by Therapy Clubhouse therapists. Private pay with a superbill and Tri-Counties Regional Center are the other two pathways.

Is Village my insurance company?
No. You keep the plan you already have. Village does not replace your insurance. Village is the pediatric provider network that holds the contract with your insurer and handles the billing for your child’s therapy.

Who actually treats my child?
Therapy Clubhouse therapists. The same clinicians and the same care, whichever pathway you use. Village handles the insurance side. We handle the therapy.

What will I pay if I use insurance through Village?
You pay your plan’s share, such as a copay or a deductible, and Village also charges its own fee for each visit. Village verifies your specific plan, your benefits and your location before anything begins, so you know the number before you commit to anything.

How much does a session cost?
It depends on the service and pathway. We’ll walk you through costs and options clearly on your free consultation, with no obligation.

Is Early Start really free?
For eligible children (birth to three, and qualifying older children), Regional Center-authorized Early Start services are provided at no cost to the family.

My plan is not on the list. Is it worth calling?
Yes. The plans above are what we can currently work with through Village, and insurance networks change. If insurance turns out not to be a fit, private pay with a superbill and Regional Center may still work for your family.

Does this work for telehealth?
Telehealth is available, and your child must be physically located in California during sessions. Whether your plan covers telehealth is one of the things Village verifies before you start.

I already have a Regional Center authorization. What now?
We can begin right away. Therapy Clubhouse is a contracted provider with Tri-Counties Regional Center for Early Start and Early Intervention services.
